About this policy

This policy explains how SpeedSafe Automotive handles personal information when you use our website, contact us, make a booking or receive a service. It also explains how to ask about your information or raise a privacy concern.

You can make a general enquiry without identifying yourself where practical. We need certain details to provide a quote, confirm a booking, attend a mobile installation, process payment or respond to a service claim.

Information we collect

  • Your name, phone number, email address and relevant contact preferences.
  • Booking details, service or installation address, vehicle make and model, registration details where supplied, product selections and service history.
  • Quotes, invoices, payment status, transaction references and payment-provider information needed to administer a purchase.
  • Messages, emails, enquiry forms, service notes, and photos, footage or documents you choose to provide.
  • Call details and, where recording or transcription is used, recordings, transcripts and summaries.
  • Website usage and technical information, such as pages visited, referring pages, device or browser information, network information, session identifiers and campaign information.

Please only provide information that is relevant to your enquiry or service. Avoid sending passwords, full payment card details, unrelated dash cam footage or information about other people unless needed and you are authorised to share it.

How information is collected and used

We collect information directly through our website, booking forms, phone calls, messages, email and dealings with you at a workshop or mobile service. A person arranging a booking for you, a booking platform, payment provider or an authorised service partner may also provide information needed for the job.

We use relevant information to respond to enquiries, prepare quotes, arrange and deliver services, allocate technicians, communicate booking updates, process and reconcile payments, provide support and handle warranty or refund enquiries. We also use records for business administration, fraud prevention, security, legal obligations and resolving disputes.

Website information helps us understand site performance, improve our services and measure enquiries and advertising. Where we send marketing messages, you can unsubscribe using the message instructions or contact us to update your preferences. Essential booking, payment and service messages may still be sent.

Service providers and sharing

Information relevant to a job may be available to authorised SpeedSafe team members and technicians. We also use service providers for hosting, storage, bookings, payments, email, communications, analytics and administration.

Depending on the service used, providers may include Vercel and Supabase for website systems and storage; Google Workspace and Resend for communications; Square and Stripe for booking or payment functions; and Twilio and OpenAI for calling, transcription or communication assistance. The providers involved can vary as services change.

Payment details submitted to a payment provider are handled under that provider’s arrangements. Where a saved payment method is offered, provider references or tokens may be used to identify it. Please do not send full card details by email or ordinary message.

We may disclose information to advisers, insurers, regulators or other parties where needed to manage a claim, meet a legal obligation or protect lawful rights. Information is not published simply because you made a booking. Any use of identifiable installation photos for public marketing is separate from using photos to document or support a job.

Calls, recordings and AI-assisted tools

Our business phone system can record calls and create transcription and summary records for customer service, job follow-up and resolving enquiries. Where used, call audio or relevant text is processed by our communications and AI service providers.

AI-assisted tools may help transcribe calls, summarise conversations or prepare responses. Their output can be inaccurate. If a transcript or summary contains an error that affects your booking or service, contact us so it can be checked.

Contact us if you have concerns about recording or would prefer to discuss your enquiry by email or message. This policy does not replace any recording notice or consent required for a particular interaction.

Cookies, analytics and other websites

Our website uses browser storage, session identifiers and similar tools to support features, measure usage and maintain security. Depending on the tools enabled, Google analytics or advertising tools, Meta tools and other integrated services may collect usage information.

Use Tracking preferences in the footer to turn optional analytics and advertising tracking off or on for this browser. Australian visitors have optional tracking enabled unless they opt out. Elsewhere, optional tracking remains off until you allow it. We respect Do Not Track and Global Privacy Control. Essential booking, payment and security functions remain available.

You can also manage cookies and site storage through your browser and adjust advertising preferences through the relevant provider. Blocking storage or scripts may affect booking forms, saved choices or other website features. Browser settings do not necessarily stop every form of technical logging.

External booking, payment, social and review platforms apply their own privacy policies. If you choose a platform on our review page, your review and account details are handled by that platform. Check what will be public before submitting a review or photo.

Storage, overseas processing and retention

We use hosted business systems and access controls to help protect records from unauthorised access, loss and misuse. No online service, email system or storage method can be guaranteed completely secure.

Cloud and communications providers may store, access or process information outside Australia, including in the United States. Locations depend on the provider, service and configuration. Contact us if you need more detail about the providers relevant to your booking or enquiry.

We keep information while it is reasonably needed for the purpose it was collected, ongoing service and support, accounting, legal obligations or resolving disputes. Different records may need different retention periods. Where information is no longer needed, we take reasonable steps to delete or de-identify it, subject to applicable legal requirements and the operation of backups.

Access, corrections and your choices

You can ask to access or correct personal information we hold, update contact preferences, or request that information no longer needed be deleted. Email hello@speedsafe.au and describe what you are requesting. Please do not email identity documents unless we have discussed a suitable verification method.

We may need to verify your identity before releasing or changing information. We will consider your request and explain any reason we cannot provide access, make a correction or delete a record, including where retention is required by law or another person’s privacy is involved.

Privacy questions and complaints

Send privacy enquiries or complaints to hello@speedsafe.au, addressed to SpeedSafe Automotive. Explain what happened, when it happened and the outcome you are seeking. You can also write to 9/17 Third Avenue, Sunshine VIC 3020.

We will review the concern, may ask for information to understand it, and explain our response and any steps proposed. If more time is needed, we will let you know.

If you are not satisfied with the response, you can contact the Office of the Australian Information Commissioner for information about privacy complaints and whether it can consider your matter.

We may update this policy as our services and information handling change. The date at the top identifies the latest version published on this page.
